Creating department-specific hotword sets
Before you create hotwords, it is recommended to refer the following guidelines:
Length of a hotword should not exceed 100 characters.
Allowed wildcards: * (asterisk) and ? (question mark).
Recommended to use at least 3 characters before a wildcard (e.g., com*) to avoid slow searches.
Single word hotwords (with or without wildcard) should not be enclosed in quotes.
For example, Test*, upgrade, overprice*, mis?sell
Multiple words must be enclosed in double quotes.
For example, "search criteria", "search * * criteria", "te?st vas", "strategic invest*"
Allowed: * (asterisk), ? (question mark), apostrophe ('), and hyphen (-).
For example, "front-running", "personal e-mail".
Alternatively, you can replace the hyphen with a space: "front running", "personal e mail".
Not allowed: plus (+), underscore (_), comma (,), etc.
Note:
If a hotword contains unsupported characters (e.g., CBD_US, T.I.E. ratio), replace the special character with a space and enclose the phrase in quotes (e.g., "CBD US", "T I E ratio").
You must add a positive keyword before applying negation. Add the keyword AND before the first negation term, ensuring there is a space before and after AND.
For example, "is trading behind" AND -"Check if the client is trading behind market",
blink AND -blinking,
carp* AND -"red carpet"-"carpet from market".
Note:
To avoid inconsistent search results and enhance accuracy when using multiple negation conditions, the hotword length can be extended to a maximum of 2,000 characters.
Negatives without positives are not allowed as hotwords. Instead, such cases should be handled through Veritas Information Classifier as exclusion policy.
Avoid creating multiple similar hotwords (e.g., zera, zerar, zerado, zeramos, zeraria). Instead, use fewer, smarter hotwords to optimize performance and capture a wider range of variations (e.g., zera*).
Avoid overly broad hotwords such as *mail or *word, as they might slow down searches.
Hotwords should have a fixed start and end whenever possible.
For example, instead of using "* * pressure", you can use "avoid * pressure".
The following table shows how to create hotwords using exact words, phrases, and wildcards, along with what they match and do not match.
Hotword | Matches | Does Not Match | Note |
---|---|---|---|
I sent the mail yesterday | yahoomail, gmail | Best for exact word search. | |
for? | ford, fork, fore, form | for, forks, fortnight, four, for-m | ? wildcard represents a single character. |
spa?e | space, spade, spare, spate | spae, spa, spaced, spaceborne, s-pace | Same as above. |
mark* | mark, marking, marked, marketing | mark down, Denmark, landmark, remark, | * wildcard represents zero or more characters; use at the end, not the beginning. |
mis*t | misprint, misreport, mismanagement, mist | mismatch, mistake | Best for faster searches. Avoids multiple similar hotwords. |
"mark down" | mark down, mark-down | markdown | Best for exact phrases. Recommended to use quotes. |
"keep * mind" | keep in mind, keep on mind, keep this mind | keep this in mind, keep mind, keeping mind | Every * wildcard in a phrase represents a single word. Recommended to use quotes. |
"need * * now" | need an answer now, need more time now, need your help now, need fresh data now | need now, need backup now, need to provide data now | Same as above. |
"gmail", "yahoomail", "hotmail" | - | Not recommended - too broad, can slow down searches. | |
"word * *" | word of the, word is spread, word by word, etc. | - | Not recommended - causes delays and may match unnecessary results. |
