About Data Requests
AdvisorMail provides the capability to generate data requests to search and download emails (including attachments) across the entire archive, specifying a variety of search criteria. The time that is required to process a data request is dependent on the size of the archive, the complexity of your query, and the date range.
Note:
Only the System Administrators can perform data requests. All the related system notifications are sent to the primary email address of the System Administrator.
Up to 1.0 GB of emails (or 25,000 emails) can be downloaded directly from AdvisorMail (in PST or EML format). Larger requests must be fulfilled on physical media because of the time that is required to transmit this much data over the Internet. For very large data requests (search results are greater than 25,000 emails), an email authorization is required before the request is processed. Generally speaking, about 35,000 compressed emails can be loaded on a DVD. Standard DVD rates apply (please refer to your contract for physical media rates).
The data request process follows one of two paths depending on the size of the request:
Data Requests with Less than 25,000 Emails
- Complete and submit new request.
- "Data request submission" notification email sent.
- Data request completes processing.
- "Request Complete" confirmation notification email sent.
- Log into AdvisorMail. Go to Request History page, accesses results page. You can download results immediately if less than 1.0 GB in total size in format originally specified (eml or PST)
- If results are larger than 1.0 GB in size, customer requests shipping.
- "Shipping confirmation" notification email sent.
- Customer receives data on physical media (e.g., DVDs or hard drive).
Data Requests with greater than 25,000 Emails
- Complete and submit new request.
- "Data request submission" notification email sent.
- "Action Required - data request on hold" notification email sent.
- Customer replies to "Action Required - data request on hold" email stating that they want to proceed.
- AdvisorMail data request support approves and initiates the continuation of the request.
- Data request completes processing.
- "Request Complete" confirmation notification email sent.
- Log into AdvisorMail. Go to Request History page, accesses results page. You can download results immediately if less than 1.0 GB in total size in format originally specified (eml or PST).
- If results are larger than 1.0 GB in size, customer requests shipping.
- "Shipping confirmation" notification email sent.
- Customer receives data on physical media (e.g., DVDs or hard drive).
