The Add Auditor dialog
To add a new auditor, click Add on the Actions bar, or select Add from the right-click menu.
Note:
The Add option is available only if the number of auditors that are listed is less than the total number that allowed for the associated office.
The Add Auditor dialog includes the following settings.

- The value in the user name field is the name that is displayed within the AdvisorMail application identifying this particular Auditor. This name appears in the Auditor column on the List View for all Email Archive folders and in the reassignment list box. This field should contain the actual name (or familiar name) of the auditor.
- An auditor uses this name and the account password to gain access to AdvisorMail. The name must be at least five characters in length.
While this account is active or inactive, no other user can have the same login name. When you delete an auditor, the login name is freed up to be used again for another auditor account.
- Select to activate the auditor's account. If unselected, the auditor cannot log into AdvisorMail.
- When AdvisorMail wants to send a notification to this auditor (for example, that their password is about to expire), it addresses the notification to this email address.
- Notification emails are sent to these addresses in addition to the primary email address. A comma must separate multiple addresses.
- When selected, this auditor is assigned emails flagged for compliance rule violation. Multiple auditors may be designated as a Default Auditor. AdvisorMail can automatically and equally distribute flagged emails across all Default Auditors. If there are no Default Auditors defined, all trapped emails are assigned to the System Administrator account.
- Limits the capabilities of the auditor to status. An auditor who is cannot perform actions on emails and cannot create or change any compliance rules.
- If selected and AdvisorMail assigns a Post Review email to this auditor, AdvisorMail sends a notification to the Auditor informing them of the assignment.
- If selected and AdvisorMail assigns a Pre Review email to this auditor, AdvisorMail sends a notification to the Auditor informing them of the assignment.

- The new auditor's temporary password. Upon the first logon with this password, the auditor is prompted to change the password immediately to one of their choosing.
Auditor passwords must now conform to the following requirements:
Between 10 and 40 characters
At least one lowercase alphabetic character.
At least one uppercase alphabetic character.
At least one numeric character.
At least one special character.
No space characters.
The same character cannot be repeated three or more times consecutively.
The same password must not have been used within the past 365 days.
- This value must match the value that was entered into the New Password field.
Corporate Privileges: These privileges further define the capabilities given to the auditor in the Corporate office:
- If selected, AdvisorMail restricts the auditor from viewing all emails except those assigned to them account. If unselected, the auditor can view all Corporate emails.
- If selected, the auditor can edit Corporate compliance rules (e.g., keyword and phrases, addresses, attachment types, and random sample percentages). If unselected, the auditor has read only access to Corporate Compliance Rules.
- If selected, the auditor can select multiple emails to either review, approve or reject. If unselected, auditors can only review messages one at a time.
- If selected, allows the auditor to move emails to or remove emails from the Trash Can folder in the Corporate office.
- If selected, allows the auditor to view and access the Privileged Folder as well as move emails to and from this folder. If unselected, auditors do not see the Privileged folder that is displayed in the left navigation pane.
Office Privileges: These privileges further define the capabilities given to the auditor when a 2nd Tier office is accessed. These options include:
- If selected, the auditor can edit Office compliance rules (e.g., keyword and phrases, addresses, attachment types, and random sample percentages). If unselected, the auditor has read only access to Office Compliance Rules.
- If selected, the auditor can select multiple emails to either review, approve or reject in the Office. If unselected, auditors can only review Office emails one at a time.
- If selected, allows the auditor to move emails to or remove emails from the Trash Can folder in the Office.
- If selected, allows the auditor to view and access the Privileged Folder as well as move emails to and from this folder in the Office. If unselected, auditors do not see the Privileged folder that is displayed in the left navigation pane.
Office Access:
To give an auditor access to one or more offices, select offices in the list on the left. Use the right arrow or All button to move offices to the assigned list on the right. The left arrow (or None) button can be used to move offices to the unassigned list on the left.
Click Save to save the settings you have defined in the dialog.
